Smart Locker System – Employee User Guide
This guide helps employees understand and use the Smart Locker system effectively. It explains core features, rules, and workflows to ensure secure device handling and accurate tracking.
The Smart Locker system enables employees to pick up and drop off devices using QR-based authentication while maintaining full auditability of device movement.
General Instructions
This section outlines the rules, assumptions, and responsibilities for employees using the Smart Locker system. Following these guidelines ensures secure locker access, correct device usage, and smooth system operations.
Credential Accuracy
Employees must log in using their registered email ID and password. Multiple failed login attempts may temporarily lock the account for security reasons.
Request Validation
Every pickup or drop-off action creates a system request. Once submitted, the request enters an approval and locker validation workflow. Employees must verify all details before confirming a request.
QR Code Security
Each request generates a unique QR code that is linked to:
- Employee identity
- Device information
- Locker location
- Request validity window
QR codes must not be shared, reused, or scanned outside the intended locker.
Session Security
Employees must log out after completing actions, especially when using shared systems.
Discrepancy Reporting
Any mismatch in device assignment, locker access failure, or incorrect request status must be reported immediately to the administrator.
Profile Accuracy
Keeping contact details up to date ensures timely notifications for approvals, rejections, and locker actions.
