Device Pickup Request

  • A Device Pickup request is used to collect a device from a locker for usage or maintenance. This workflow ensures secure access, traceability, and accurate device location updates.

To create a device pick up request, follow the steps below:

  1. Select Device Type or Code
    The user chooses the required device type (for example, Laptop or Phone) or specifies an exact device code for pickup.

    (Note: Pickups are subject to assigned device quotas. If a user exceeds their quota, the pickup request will be rejected.)

  2. Provide Issue or Notes
    Enter issue or notes to describe the reason for pickup or any special instructions.

  3. Select Pickup Locker
    A locker is selected from which the device will be collected.

  4. Confirm Request Details
    The system displays a summary including:

    • Device type
    • Issue or notes
    • Locker location
      The user confirms the request.

  5. QR Code and Device Pickup

    • Each user is assigned a unique QR code that is used for all device requests.
    • The user scans their QR code at the selected locker.
    • The assigned device is released and collected by the user.

Outcome

  • The request status is marked as Closed after successful pickup.
  • The device location is updated to In Use.
  • The request remains available for tracking and audit purposes.

Device Pick-up Request (via ServiceNow)

  • A Device Pick-up Request allows users to request a device directly from the ServiceNow portal. After submitting the request, a QR code is generated, which can be used at the assigned Smart Locker to collect the device.

To create a device pickup request, follow the steps below:

  1. Select Locker Location
    Choose the locker from which the device will be collected.

  2. Select Device Type
    Select the required device type.

  3. Provide Additional Notes
    Enter any notes or instructions if required.

  4. Submit the Request
    Click Submit to create the request.

  5. QR Code and Device Pickup

    • Each user is assigned a unique QR code that is used for all device requests.
    • The user scans their QR code at the selected locker.
    • The assigned device is released and collected by the user.

Outcome

  • The request is successfully created.
  • The device can be collected using the generated QR code.
  • The request status is updated after successful pickup.
  • The request remains available for tracking and audit purposes.
